We are currently seeking a Project & Operations Coordinator to support the operational backbone of the company.
This is not an artistic role. It is a high-responsibility execution position suited to someone who values structure, accountability and delivery.
The Role
Once a project is secured, disciplined execution is essential.
The Project & Operations Coordinator will manage the operational lifecycle of projects, ensuring scope alignment, timeline control, documentation accuracy and smooth coordination through to installation.
The role is central to maintaining clarity, reducing friction and ensuring that every ArtSpark project progresses with efficiency and consistency.
Key Responsibilities
Project Management & Delivery
Maintain and monitor master project timelines
Track deliverables, approvals and deadlines
Coordinate communication between clients, internal teams and suppliers
Identify risks and escalate appropriately
Safeguard agreed scope and ensure structured progression to installation
Production & Logistics Coordination
Monitor production timelines
Coordinate suppliers, shipments and installation scheduling
Ensure alignment between approved scope, quantities and deadlines
Systems & Process Development
Develop and maintain structured workflows and checklists
Organize and update digital project files
Prepare operational dashboards and reporting summaries
Support the documentation and formalization of internal processes
Administrative Support
Oversee contracts and compliance documentation
Coordinate with the company accountant
Maintain operational calendars and assist in meeting preparation
Ensure administrative consistency across all projects
Profile
2+ years of experience in project management or operations
Experience within hospitality, architecture, construction or design environments is preferred
Strong sense of ownership and accountability
Ability to manage multiple projects simultaneously
Structured, calm and solution-oriented approach
Fluency in Greek and English
